Planning and scheduling
How to schedule posts on Facebook for your pub or restaurant
On a computer, Facebook posts are scheduled in Meta Business Suite, even when you start from your Page, and on a phone you can use the Facebook app or the Business Suite app. This guide gives the steps for each route, shows how to change a scheduled post, and covers the snags that catch venues out.

Here is how to schedule posts on Facebook for a pub, bar, restaurant or cafe: write the post in Meta Business Suite, switch on the scheduling option, pick a date and time, then click Schedule. Business Suite is Meta's free tool for running Facebook Pages and Instagram accounts. You can reach it from your Page, at business.facebook.com on a computer, or through its phone app. On a phone, Meta says you can also schedule from the Facebook app itself. Page posts can be scheduled anywhere from 20 minutes to 29 days ahead.
The steps below follow Meta's own help pages as they stood in September 2026. Meta updates these screens from time to time, so if a button on your screen is worded slightly differently, look for the closest match.
Before you start
Three things will save you some head-scratching:
- A Facebook Page for the venue. A business belongs on Facebook as a Page, and the main steps in this guide are for Pages.
- The right access. Meta says scheduled posts can be created and edited by people with Facebook access or task access to the Page. Anyone who has task access to manage content can only create posts from Business Suite, not from Facebook itself.
- The post, ready to go. The photo or video, the words, and the date and time you want it to appear.
How do I schedule a post on Facebook from my Page?
If you already use Facebook on a computer, this is the quickest route. It takes you into Business Suite without having to find it separately.
- Switch into your Page: click your profile photo in the top right, click See all profiles, then choose your Page.
- From your Page, click Meta Business Suite in the left menu.
- Click Create post, below your Page's profile picture.
- Add your words and your photo or video.
- Next to Scheduling options, click the Set date and time toggle.
- Choose the date and time. You can also click Active times to see recommended times.
- Click Schedule.
Meta notes that all scheduling times follow your current time zone. That matters if you schedule from somewhere else, which we come back to below.
How to schedule posts in Meta Business Suite on a computer
Going straight to Business Suite gives you a little more control, and it is the better route if you want the same post on Instagram too.
- Go to business.facebook.com and click Create post. You can do this from the home page or the Content tab.
- Under Post to, choose where the post goes: your Facebook Page, your Instagram account or a Facebook group.
- Under Media, add your photos. Business Suite's own note says an Instagram post made here can hold up to ten photos.
- Under Post details, write your text. You can customise the wording separately for Facebook and Instagram.
- Choose who can see the post: Public or Restricted.
- Under Scheduling options, turn on the toggle and set the date and time.
- Click Schedule. If you are not ready yet, click Finish later to save it as a draft.
Stories and reels work the same way. Start from Create story or Create reel instead, and choose to schedule before you share.
Tip
Click Active times when you pick a time. Meta says it recommends times based on when your followers were most active on Facebook and Instagram over the past seven days. It is a sensible starting point, and our guide to the best time to post on Instagram and Facebook in the UK shows how to go further with your own insights.
How can I schedule Facebook posts on my phone?
Meta documents two ways to schedule on a phone: in the Facebook app itself, or in the free Meta Business Suite app.
In the Facebook app
Meta says Pages can create and schedule posts directly in the Facebook app, on mobile devices only. If you cannot see the option on your Page, use the Business Suite app instead.
- Switch into your Page, then tap What's on your mind? at the top of your Feed or Page.
- Create your post, then tap Next to open the post settings.
- Under Scheduling options, choose Schedule for later. Pick a time, or use the recommended times, which Meta bases on when your followers are most active on Facebook.
- Tap Post.
To see what you have booked in, tap Manage posts on your Page. Note the catch: Meta says that to change a post scheduled this way, you delete it and create it again.
In the Meta Business Suite app
- Open the Meta Business Suite app and tap Content in the menu bar at the bottom.
- Choose what you are making from the options at the top: Posts, Reels or Stories.
- Tap Create. The first time, the app will ask permission to use your photos and videos.
- Add your text and media, then tap Next.
- Tap Schedule for later, choose the date and time, then tap Schedule.
For a Facebook post you can tap Save as draft instead and finish it later. Everything you schedule here appears in Planner, on the date it is due to go out.
Phone or computer: which is better?
Both publish the same post. The difference is mostly comfort. A computer gives you room to write and a week or month view of everything booked in. A phone is ideal for a one-off post or adding tonight's special on your way in. One practical point: Business Suite lets you edit a scheduled post, while a post scheduled in the Facebook app has to be deleted and made again, so book anything likely to change in Business Suite. A good rhythm for a busy venue is to plan on a laptop once a month and use your phone for quick changes.
Seeing, editing and moving scheduled posts
Plans change. The band cancels, the kitchen runs out of lamb, the sun comes out. Here is how to find what you have booked in and change it.
On a computer
- In Business Suite, click Planner in the left menu. Switch between Week and Month in the top left, and filter by type of content or by where it is shared.
- Click the post you want to change, then click Options.
- Choose what you need: Edit post, Duplicate post, Reschedule post, Move to drafts or Delete post.
You can also find everything under Content, in the Posts and reels tab, under Scheduled. To add something to a particular day, hover over that day in Planner and click Schedule.
On your phone
In the Business Suite app, open Planner to see everything booked in, then tap a post to see the options for changing it. The menus vary between app versions, so if you cannot find the option you need, make the change in Business Suite on a computer.
Tip
Use Duplicate post for your regulars. Build this week's quiz night or Sunday roast post once, then duplicate it and reschedule the copy for the following week, changing only the details that differ.
What trips people up
Personal profiles
Meta documents scheduling for Pages and for groups you manage. In the Facebook app on a phone, it also covers profiles in pro mode. If your venue has been run from someone's personal account, create a Page for it: the steps in this guide, Business Suite and Planner all work with a Page.
Groups
If you run a regulars' group or a local community group, admins and moderators can schedule posts there too. Go to the group, click Write something..., write your post, then click the calendar icon next to Post. Choose a date and time and click Schedule. The option only appears once you have started typing.
Scheduled group posts sit under Scheduled posts in the group's admin tools, where you can reschedule them, post them now, edit or delete them. Admins can also set up posts that repeat daily, weekly or monthly using Admin Assist.
Time zones and the clocks going back
Meta says scheduling times correspond to your current time zone. If you schedule next week's posts while on holiday abroad, check the times carefully before you click Schedule.
It is also worth a look around the clock change. UK clocks go back one hour at 2am on Sunday 25 October 2026, so if you have posts booked in across that weekend, open Planner afterwards and make sure the times still look right.
The 29-day limit
Facebook Page posts can be scheduled from 20 minutes to 29 days ahead. For a long run-up, such as Christmas bookings, schedule the first four weeks now and set yourself a reminder to add the rest later. Our guide to promoting an event on Facebook and Instagram covers what to post during that run-up.
Who can see the post
Posts you create from your Page on Facebook are always public. If you want to change who can see a post, create it in Business Suite, which has the audience setting.
Posting to Instagram at the same time
Adding your Instagram account under Post to saves time, but tailor the wording for each rather than sending identical text to both. Meta says cross-posting needs your Page and Instagram account to be connected and in the same business portfolio (Meta's name for the business account that holds your Page, your Instagram and the people who manage them). The Instagram side is covered in how to schedule Instagram posts.
A faster way for venues: plan a month in one sitting
Scheduling one post at a time beats posting nothing, but the real saving comes from doing a month in one go. A simple routine:
- Book an hour at the same point each month, away from service.
- List the fixed dates: quiz nights, live music, match days, Sunday lunches, menu changes, bank holidays and events.
- Write the posts in one sitting, then schedule them in Business Suite, using Duplicate post for anything weekly.
- Check the times against Active times or your own insights.
- Leave gaps for live posts: the specials board, a new cask, the first sunny afternoon in the garden.
Scheduled posts keep you visible on quiet days. Live posts show you are open, busy and worth a visit. You want both. Keep the 29-day limit in mind: anything more than 29 days away will need a short top-up session later in the month. A simple social media content calendar makes the whole job quicker.
How Cheers helps
Cheers is social media software built for UK pubs, bars, restaurants, cafes and hotels. You describe a post once, and its AI writes versions for Facebook and Instagram in your venue's own voice, following your tone settings and banned phrases. You then review, edit, approve and schedule everything on one planner calendar, including weekly recurring posts and event posts with a date strip on the image. Cheers publishes automatically to your Facebook Page and Instagram, checks each post before sending, and emails you if anything fails.
